About the role

Location: Remote

Background:

Crown Agents has recently been appointed as the UK Foreign, Commonwealth and Development Office’s (FCDO) provider to deliver their programme entitled ‘Support to Civil Society’ in Ukraine. The project will be a flexible, adaptive and scalable tool to enable the FCDO to scale up its funding to Ukrainian civil society in order to ensure an enduring voice for the Ukrainian people and support the resilience of CSOs through what could be a protracted conflict. The overarching objective is to improve the capacity, capabilities and resilience of Ukrainian CSOs through three workstreams:

  1. Early recovery and Reconstruction – Building the capacity of CSOs in the early stages of the reconstruction process and build network between local, regional and national CSOs and the different levels of government.
  2. Resilience and sustainability of CSOs – Providing salaries, capacity-building training, and equipment to enable CSOs to rebuild from principles of local democracy and equality, diversity and human rights.
  3. Working With Marginalised and Excluded Groups – Including Women and Girls – Leaving No One Behind.

The project will enhance the resilience and capacity of Ukrainian CSOs so that they can survive through to a post-war environment and later thrive to take part in the rebuilding of an independent and democratic Ukraine by programming £8.3m in funds across the three workstreams between June 2022 and Mar 2024.

To operationalise the fund we proposed three grant windows:

  1. Emergency grants: for small value/short duration grants that meet critical support gaps essential for the operation of a CSO or commencement and continuity of life-saving activities.
  2. Resilience and sustainability grants: A funding window opened at scheduled intervals which allows CSOs to request capacity development, commodity, and specialised trainings.
  3. Programme grants: A larger funding window opened at scheduled intervals to enable CSOs to apply for support for early recovery and reconstruction projects focused on marginalised and excluded groups.

Timelines:

The project will be delivered across three phases:

  • Inception Phase: June 2022 – Sept 2022
  • Implementation Phase: Sept 2022 – Dec 2023
  • Exit Phase: Jan 2024 – Mar 2024

The role:

Under the direction of the Senior Grants Manager and Team Leader, the Grants Coordinator will:

  • Assist with the review and scoring of grants application using the online grants management system
  • Support with setting up and testing new features of the grants management system as and when needed
  • Assist the Grants and Contracts Manager in drafting grant agreements and grant amendments
  • Support the Finance Manager and Finance Officer with review of financial reports from grantees and offer suggestions on how best to improve efficiency of reporting, risk rating for grantees
  • Support the Grants team with review of narrative reports when needed
  • Provide accurate and timely information to the Programme Manager and Project Accountant on amounts disbursed to grantees and communicate forecast on future disbursements
  • Serve as focal point for all applicants and respond to inquiries regarding submissions.
  • When needed, contribute to project deliverables such as quarterly and annual reports, workplans, assessments etc
  • Any other duties as directed by the Senior Grants Manager and Team Leader

About you

Essential Requirements:

  • Bachelor or master’s degree in social sciences, finance, economics or similar
  • Minimum of 3 years professional experience
  • Understanding of grant management cycle
  • Strong project management skills
  • Good experience with review of narrative and financial reports
  • Fluency in Ukrainian

Desirable Requirements:

  • Prior experience with grants management
  • Experience working with online grants management systems
  • Experience working on FCDO-funded programmes
  • Experience working with civil society organisations

Reporting:

The Grants Coordinator will report directly to the Senior Grants Manager
