The paid internship aims at enhancing the educational and practical experience of the applicant through work assignments in their specific areas of competence. The Intern will be introduced to the EU professional world and to the opportunities therein. Under the supervision of the Tutor and with the overall reporting capacity to the Head of Human Resources Unit, the Intern is expected to provide support to the effective implementation of HR processes in the area of Recruitment & Selection, in accordance with EU procedures and regulations and towards the achievement of eu-LISA objectives. Tasks may also include:
- Assisting in the organisation of timely recruitment and selection procedures for statutory staff (Temporary and Contract Agents), Seconded National Experts and Interns in accordance with the EU Staff Regulations and Conditions of Employment of Other Servants of the European Union (CEOS) as well as relevant implementing rules and policies;
- Assisting in the drafting and publication of vacancy notices and open calls;
- Establishing and maintaining paper and electronic records of the recruitment procedures in accordance with agreed standards;
- Provide support in the consolidation of results, updating data, overviews, statistics and reports;
- Collecting and compiling data related to recruitment and selection, analysing data and statistics for tends and patterns;
- Assisting with the research, documentation, drafting and implementation of eu-LISA HR policy framework, e.g. procedures, guidelines, policies, etc.;
- Supporting the efficient and proper processing of administrative procedures;
- Assisting in the arrangement of pre-recruitment medical visits for selected applicants; Contributing to effective functioning, collaboration and cooperation within the HR Unit.
Eligibility criteria
Applicants will be considered eligible for recruitment and selection on the basis of the
following formal criteria which need to be fulfilled by the deadline for applications:
- he/she is a national of the Member States of the European Union or Schengen Associated Countries;
- he/she has completed at least three (3) years [six (6) semesters] of higher education course (university education or studies equivalent to university) or obtained the relevant degree (minimum a Bachelor or its equivalent) by the closing date for applications. [N.B. Only qualifications that have been awarded in the Member States of the European Union or that are subject to the equivalence certificates issued by the authorities in the said Member States of the European Union shall be taken into consideration.]
- he/she must have knowledge of the working language of eu-LISA (English) at least at level C1.
Selection criteria
Suitability of applicants will be assessed against the following criteria in different steps of the selection procedure:
Professional experience and knowledge
- Knowledge in the described tasks in the area of Recruitment & Selection;
- Education in domains relevant to the internship; including, but not limited to Human Resources Management, Business Administration, Psychology;
- Good working knowledge of Microsoft Office applications, in particular Outlook, Excel, PowerPoint and Word..
Advantageous selection criteria
- Professional experience in Recruitment & Selection, or any other HR area;
- Ability to use data for creating reports, scorecards, diagnostic analysis;
- Knowledge and/or professional experience with HR applications and tools;
- Knowledge of EU Staff Regulations and CEOS as shown by training.
Personal qualities
- Ability to act with integrity, demonstrating sound ethical principles at work and respecting the rules on professional secrecy;
- Good communication and interpersonal skills, including flexibility, ability to multitask and service-oriented approach;
- Ability to work as part of a team in a multicultural environment;
- Interest and willingness to learn.
Conditions
The Internship is expected to start as soon as possible and the initial Internship period is offered for 6 (six) months, with a possibility of extension up to total 12 (twelve) months.
The internship will be awarded a monthly maintenance grant, which is 1/3 of the basic gross remuneration received by an official at the grade AD5/1 and already weighted by the correction coefficient (for Tallinn, Estonia 86.3% – current grant EUR 1,441.42)
