The Development Coordinator is a key member of CARE’s Major Gifts team responsible for building and growing relationships with donors whose giving makes our work possible. This team is fast-paced, collaborative, and impact-driven. This role provides operational support for a team of frontline fundraisers and team leadership allowing them to focus on external fundraising, donor relationships and strategy while feeling confident that the support and logistics functions necessary for excellent donor care and internal efficiencies are being thoughtfully executed by the Development Coordinator. Responsibilities range from administrative tasks, data entry, event support, mailings, travel/logistical support, setting up meetings and team convenings, managing reporting and critical database work. Ideal candidates are flexible, complete tasks with urgency, and able to prioritize multiple tasks and work independently.
Responsibilities:
- Administrative support to fundraisers and leadership
- Information and data management and reconciliation pertaining to goals, metrics, sensitive donor information, other projects that require attention to detail.
- Database (Salesforce) management of donor interactions, info, updates and reports – accuracy and timeliness will be a key responsibility.
- Maintaining and reviewing internal reports of gifts, donations, pledges, interactions, etc. for accuracy and completion .
- Assistance with scheduling and preparing for both internal meetings and external/donor meetings to include agendas, research, drafting briefing documents, creating presentations, taking notes, managing follow up.
- Ability to professionally interact with donors, board members, volunteers and prospects as needed in conjunction
- Facilitating inter-unit collaboration and database management
- Manage the execution of several donor mailings throughout the year to include Impact Magazines, annual report, and highly tailored donor solicitations.
- Support the administrative components of donor/external events and event planning including catering, RSVP management, drafting documents, assisting with technology (NOTE – this will require occasional off-hours availability to attend events)
- Maintain and proactively prepare donor reports, data reports, and other key information
- Prepping CEO/COO acknowledgment letters
- Processing donation checks and related paperwork in a timely manner
- Facilitating inter-unit collaboration and database management
- Seeking and sharing pertinent information (both for internal and external use) for the regional teams
- Becoming a ‘super user’ of CARE’s donor database, Salesforce
- Close work with the stewardship officers to benefit the growth of relationships with donor
- Collecting, cataloging and potentially summarizing CARE reports, documents, etc.
- Working closely with counterparts in other regions, other units within Resource Development like Planned Giving, prospect management, and others for best practices, message consistency and any interaction with the Office of the President
- Maintaining close working relationships with other units to maximize CARE’s resources and opportunities (corporate, foundation, media, brand & comms)
- Coverage and specific support to Executive Director and Associate Vice President
- Provide administrative and organizational support for Executive Director and Associate Vice President to possibly include calendar management, meeting management, budget management, internal approvals management.
Qualifications:
- Bachelor’s degree OR equivalent combination of education and work experience
- 1-3 years’ experience in an office environment and not-for-profit supporting senior staff, team members.
- Strong administrative and organization skills.
- Proven track record of handling multiple job responsibilities,
- Ability to lead projects and manage all moving parts including scheduling, production and deadlines.
- Must be able to handle confidential material with tact and discretion.
- Strong and collegial interpersonal skills and an ability to communicate effectively in person, writing, and by phone.
- Must be comfortable talking to donors on the phone; responding to donors by email.
- Problem solver who can take initiative, set priorities, and work independently under general direction.
- Strategic thinker with ability to be able to improve processes and efficiencies.
- Ability to establish and maintain an effective “customer service” orientation toward all colleagues.
- Proficiency with Microsoft Office (Microsoft Word, Excel, PowerPoint, etc.) and preferable Salesforce CRM experience
- Exceptional proofreading and editing skills.
