The project:

The Armed Conflict Location & Event Data Project (ACLED) is a disaggregated data collection, analysis, and crisis mapping project. The ACLED team conducts analysis to describe, explore, and test conflict scenarios and makes both data and analysis open for free use by the public. ACLED material is regularly used to inform journalism, academic research, and public discourse on conflict, and to support the work of practitioners and policymakers. ACLED is the highest quality and most widely used real-time data and analysis source on political violence and protest around the world.

The role:

ACLED is recruiting a Payroll Coordinator within the Finance team to provide oversight and support our US and international payroll. Within the Finance team and working closely with our HR department, our US-based payroll provider, and our international PEO, the Payroll Coordinator serves as a critical liaison, ensuring that ACLED’s needs for payroll technical support are met and comply with both US and international guidelines. As this is a new role, the responsibility includes developing and implementing a change request process.

This is a full-time position. It is fully remote and can be done from any location with reliable internet service (EST/PST working hours preferred). The start date for this position is March/April 2023. This position reports to the Senior Finance Manager and has no direct reports.

Specific roles and responsibilities:

  • Manage the full payroll cycle via our stakeholders, the US-based payroll provider and the international PEO, ensuring accuracy and timeliness of calculations provided;
  • Process and validate the monthly payroll input and ensure correct processing of salary payments;
  • Ensure our time and attendance tool is up to date and monitor if it is processed correctly;
  • Manage payroll notices and communication regarding new hires, transfers/changes, retroactive payroll adjustments, onboarding/offboarding, benefits, address changes, and tax changes;
  • Process and monitor miscellaneous reimbursements;
  • Ensure PTO and other payroll-related balances are accrued properly and audit monthly PTO balances in our platforms;
  • Consult with the HR team concerning exceptions and payroll issues, and escalate urgent matters to supervisors when needed;
  • Interface with external vendors and related consultants, pension funds, and independent financial consultants, and maintain an excellent relationship with all parties;
  • Ensure compliance with company policies and legal obligations;
  • Serve as the point of contact with payroll providers for tax fillings when necessary;
  • Support the Finance team for audit engagements as necessary;
  • Serve as the main point of contact with other team members across the organization and business partners regarding compensation, benefits, taxes, and employee insurance;
  • Prepare, distribute, and archive payroll-related reports, and maintain all payroll filing and relevant correspondence;
  • Identify, lead, and execute projects regarding payroll process and system improvements;
  • Provide support for the Finance and HR departments where relevant; and
  • Assist with other payroll and related tasks and duties as assigned or needed.

Skills and competencies:

  • Fluency in English (required);
  • Diploma or Bachelor’s Degree in HR/Accounting (preferred);
  • Minimum of three years in an equivalent role (required);
  • Experience working in nonprofit finance or nonprofit payroll (required);
  • Proven track record working in payroll administration (required);
  • Experience in benefits/retirement plan administration (preferred);
  • Proficiency with Excel, project-based accounting software (such as Quickbooks), and data management systems (required);
  • Experience working with domestic and international PEOs or payroll providers (required);
  • Proficiency with G-Suite, Asana, and Bamboo (preferred);
  • Strong problem-solving skills and communication skills (verbal and written);
  • Strong attention to detail;
  • Ability to juggle multiple tasks and competing priorities;
  • Enthusiastic, proactive, and comfortable handling administrative tasks when required;
  • Experience working directly with people from diverse racial, ethnic, linguistic, and socioeconomic backgrounds; and
  • Ability to work remotely with limited supervision.
